SAP Business One Version 9 Inventory Counting

SAP Business One Version 9 offers a new end to end inventory counting process to help improve inventory accuracy. The SAP Business One Version 9 inventory counting allows the warehouse manager to determine the frequency of stock counts based on cycle count determinations. For example a decision might be made to count all high value (A items) monthly, all lower value (B items) every 3 months and all lowest value (C items) once a year. Using the SAP Business One Version 9 inventory cycles set-up screen the warehouse manager can determine the frequency of cycle counts.

Taking into account the SAP Business One Version 9 bin location functionality the inventory counting can be defined by warehouse, bin location or item level.

To assist with inventory accuracy SAP Business One version 9 provides the option of 1 or 2 stock counters in the same area. This provides a “double check” of stock accuracy.

SAP Business One Version 9 – Purchase Order Requisitions

SAP Business One version 9 includes new purchase order requisition functionality.  This functionality allows the user to create an SAP Business One purchase order requisition / purchase order request.

The purchase order request will notify the purchasing department that a request for purchase has been made. Assume that Brett is working in the SAP Business One department at Leverage Technologies and wants to order 3 new IBM printers. Brett will go into the SAP Business One – purchasing – A/P menu and click on Purchase request.  The purchase request document in SAP Business One Version 9 allows Brett to complete the required information –

What items does Brett want to purchase?

The required date for the purchased items?

The quantity of items being purchased?

The department for which the items are being purchased?

The item price and description.

When the purchase request document is added SAP Business One workflow will dictate the authorisation requirements for the document approval.

By clicking on the “send e-mail” button on the SA P Business One purchase request form the user will be notified when the purchase order or goods receipt PO is created.

The SAP Business One version 9 purchase request report can be used to list all open purchase order requests. The user can right click on the item on the SAP Business One Purchase Request Report and get information related to the item including – inventory status, available to promise, alternative items, last prices report and discount group report. All of this information is very useful for the purchasing manager using SAP Business One version 9.

The purchasing manager can create a purchase order quotation or purchase order directly from the Purchase Request Report.

SAP Business One Version 9 – warehousing – Bin Locations / Multiple Bins

SAP Business One Version 9 offers substantial enhancements to inventory control and warehousing. SAP Business One version 9 bin management is also referred to as bin locations or multiple bin functionality – a structure within the warehouse of sublevels and bin locations. Bin locations are a common feature of many modern warehouse facilities – enabling better and more efficient packing, picking, stock-take and inventory control. Most specifically the team in the warehouse want to be able to quickly and efficiently locate a specific item for picking, stocktake or put away. Let’s not forget that a true multi-bin location system also tracks multiple locations for the same item in a single warehouse.

SAP Business One – Version 9 – Bin Location Management:  

Let’s look at a typical warehouse sublevel structure:

Sublevel Area One – Warehouse Floor area Red,

Warehouse sublevel two – warehouse Row (Row 1, Row 2 etc.)

Warehouse sublevel three – Warehouse shelf (Shelf A, Shelf B, Shelf C)

A bin location might be warehouse 1, floor level red, row 3, shelf B. (1-RED-3-B) Each bin location in SAP Business One version 9 has a bin location master data record – this will allow the user to create, update, remove or duplicate a bin location master data record. Bin locations in SAP Business One version 9 can be manually created one by one or users can use the bin location management window to create multiple bin locations. It is here that the user will allocate bin location properties, restrictions on bin locations and bin location attributes in SAP Business One Version 9.

The following inventory movements can be affected by bin location management:

  • Goods receipt PO
  • Inventory transfer
  • Inventory reporting
  • Pick and pack procedure

  • Working with serial numbers

On receipting of goods the allocation to a bin can be manual or automatic.  The user can split the allocated quantity across multiple bin locations. For example if one bin is full the remaining receipted quantity can be allocated to alternative bins.

Many customers will have a receiving bin which is used for QA (temporary bin location). Others might put the items directly into their default bin.
